IV. Automations
Stop copy-pasting. Start next week.
The jobs your team repeats every day, such as moving leads, chasing invoices or sorting the inbox, wired together in tools you already use. Each one is documented, monitored and handed over, at a fixed price.
Example workflow
New lead to first reply, with no hands
A typical Single Workflow: five steps, built in your own Zapier, Make or n8n account, with an alert if any step fails.
Common requests
What small teams automate first
Not sure what to automate? The Ops Sprint starts with an audit of where your team's hours go.
Sales
Lead capture to CRM
Forms, ads and inbox leads land in one place with a follow-up already sent.
Finance
Invoice chasing
Polite reminders at 3, 7 and 14 days overdue, stopping as soon as the invoice is paid.
Inbox
AI triage and draft replies
Emails sorted by urgency, with drafts ready for a person to check and send.
Orders
Order and fulfilment updates
Shopify or Stripe orders trigger packing lists, customer updates and stock alerts.
Meetings
Notes into actions
Call notes summarised and turned into CRM updates and tasks automatically.
Reporting
The Monday report
Sales, ads and pipeline numbers collected into one message every week.

Safety
Your data, your accounts
We build in your accounts with access you can revoke, and remove our access when the job is done.
We always
- Build in your own Zapier, Make or n8n account
- Add error alerts so nothing fails silently
- Keep your team in the loop wherever AI writes to your customers
- Document every step in a written runbook
We never
- Keep copies of your customer data after handover
- Let an AI assistant make promises about price, refunds or legal matters
- Build workflows that send bulk email to people who haven't opted in
Questions
About automations
What counts as one workflow?
One trigger and up to six steps that follow from it, for example "form submitted → CRM → email → Slack". Branches for different cases count as steps.
Which tool should I use: Zapier, Make or n8n?
If you already pay for one, we use it. If not, we recommend one in the brief reply based on your volume and budget. Zapier is simplest, Make is cheaper at volume, and n8n can be self-hosted.
How does the AI Assistant avoid wrong answers?
It answers only from your documents. It's tested on 50 real questions before launch and hands over to a person when it isn't sure. Pricing, refunds and legal questions always go to a person.
What happens if a workflow breaks later?
You get an alert straight away. Fixes are free for 14 days on a Single Workflow and 30 days on the Ops Sprint, and the Care Plan covers small fixes after that.
